If I remember right, and it's been quite a while since I was on RR, but I believe it's optional to reduce on hand or not without printing the invoice. It can be set either way.

I kind of remember going at it with RR support on why my parts weren't coming up to reorder when they were on an open invoice and not picked up yet by the customer. They changed something to make it happen. At the time, I trusted that the customers we had would show up but I think it's turned off by default in case customers never come in.

I didn't want to wait 3 days for a part to reorder when it was being held for someone that I knew would show up but not for 3 days.

That is it exactly. If the parts were not counted and taken to zero on hand, then when invoiced it would go to negative.
Also, make sure when running 3613 WIP to select "1" so that you can pick up anything on RO's closed, not updated to accounting along with open ROs.

Parts Managers: go to www.partsconsulting.com and go to the download section; download (it's free and no tracking is done) and get the reconciliation and key to the reconciliation form. This might help you in closing the annual physical the right way.

Before our buy/sell that we went through, we were on R&R, and when we went on electronic special orders, I setup 2525/Q to show both QOH and QTY Available; if something was tied to an appointment, and say we had 1 in stock, QOH was always 1, but the available QOH was zero. Unless those parts were on AP status, they always reordered on my stock order. But as far as invoices, unless the invoice was billed out, the quantities wouldn't be relieved from inventory.

That must be what I was remembering then. I know at first the parts weren't reordering and then after a call or 2 to R&R, they were :) Must have been going off the QTY Available.
