SB or SP?

SB or SP?

For R&R dealers out there, what is the consensus regarding order types in the TC field? Those of us here from ADP contend that one should use 'SB' on a repair order or counter invoice and then "fill" the lines when the part is handed out. We don't like SP because it deprives the advisors of knowing part arrival status from the special order report for a start. In ADP it is just: O <type> and part of the mental block that SB might be creating is the negative connotation that the term 'backorder' creates. What is everyone else doing out there?

Also, I presume the concept of 'rolling' an appointment into an RO is not foreign to most parts department on R&R?

We've always done the following....

If the vehicle is not here, or if it is leaving, then we SB the part in question on an invoice.

If the vehicle has an open repair order and is staying until the part comes in, then we SP the part on the repair order.

We are on R&R here.

I use SB when I order. and I change when I hand the part out. This is my own personal way of tracking stuff I hand out. if you do use SP, tell me that you are not going to go into the repair order anyway to make sure it is billed when you hand the part out.

On some internal (used car) RO's, I do use SP because they usually close the RO before the part comes in.

Worse, 007, they use SP and then do not bother going in to fill the line at all. It appears that those SOR's close out when the repair order closes but we have people that don't fill on counter invoices and those must be cleared manually.

I get what you are saying though. In Ignite it is so easy to fill by placing the cursor in the quantity column and then using the down arrow key to advance to the next line. The SP in the used car situation does make sense, although someone else suggested in another post using SD with a 100% deposit to keep the SOR alive. I have used that with cut keys.

I like to keep: Reports >> Stock >> Special Order open in a window throughout the day. The problem with SP is that the OH column is never accurate. With SB, (provided the order has been receipted) one knows if the part is here or not.

ok, i'm a little confused.

we are talking about R&R, right? mentioning ADP just threw me off.

we don't like to SB parts on repair orders because if they close the order, the part is not billed on the repair order. if someone forgets to update the SB to an S, that part just got handed out for free.

if you ever forget to change an SP to an S, and the order is closed, you can always clear special orders in 2533.

What's 2533 ? Tools >> Clear Special Orders >> Clear by invoice is what we use! Can also sometimes access more directly by right click.

Yes, mistakes can always occur but we have someone who refuses to even make the effort to fill parts when giving them out so that resulted in loads of freebies. Now we have to deprive the advisors of knowing part status because of him.

We're using ERAccess in our parts department. They haven't switched us over to ignite yet, but the service department is on ignite.

We use 2533 in ERA to clear special orders if we forget to change the SP to S.

You might already have Ignite. We had both here in parts for a long time. We ADP guys went straight to Ignite whereas the old timers stuck with ERA.

The other problem with SP is that it makes for a very messy SOR sheet (pick ticket in R&R) when you have some parts in stock and some on hand and want to pre pull the items on hand. Granted though one can fill the order after rolling it if there is a concern about the parts not getting billed.

our office manager was walking through with the rey rey rep a couple weeks ago, and i think they mentioned that service is on ignite, but parts isn't. i know my screen says "ERAccess" on it.

:shrug:

i'm just along for the ride. i really like reynolds better than adp anyway at the last dealer i was at.

There will be two different icons on your desktop. For ERA (blue screen), yellow chain link symbol on blue background. Ignite is the white, strobed, 'R' on a blue background that looks a bit like a venetian blind. The login should be the same for each one? It is for us.

I must admit to being partial to ADP, but then I used it for 20 years or so. Have used Ignite for about a year and in my opinion it is far better than the blue screen. The naysayers will try to tell you that Ignite is slower because one has to use the mouse all the time. Rubbish. Almost every function has a 'quick key' combination, so one tends to find a balance between mouse/keyboard that feels natural. Our Reyrey rep was a bit heavy handed when training in that she chastised people for using the mouse too much.
