What do you consider to be an Emergency Purchase

I am guessing I will get a few different views on this question but I need a little guidance. Which parts are you coding with an "E" for an Emergency Purchase when doing your daily receipts?

All special order parts?

Only parts that you consider to be a true emergency?

We only do emergency purchases on non-factory parts.
That way the part # does not get added to our DMS.
Factory part purchases that are procured locally we just sell the part then receipt it in as an ordered part so we can track it in the future if need be.

We post in as "E" purchases any Factory parts that are out of stock or could be potential stock items that were required for a same day repair from a local source or unavailable from manufacturer in a timely manner.
Excluded are program tires, factory accessories and special ordered parts from the factory warehouse, those are "S" items
NPN parts that we would never stock or track history on from jobbers etc are "IO" sell only, no receipt posted

WE POST EVERY PURCHASE THAT IS NOT COMING FROM THE WAREHOUSE AN EMERGENCY PURCHASE

Posting as an "E" receipt generates a lost sale too, a stock "S" receipt does not. RIM will pick the "E" receipted parts up almost immediately or adjust the stock quantity.

Depends on the DMS. CDK/ADP Drive does not post this as a Lost Sale but I believe UCS/R&R Power does. Posting Emergency Purchases is really for your benefit, so you can track these purchases on your Management Report.

An emergency purchase is not a lost sale. If you procure the part and sell it; it cannot be a lost sale.

When we buy a part from the local parts store I have my guys do a lost sale on the OE number. It also gets written down on the invoice and I make sure its done. This process works to help you get more stuff on the shelf you need.

Absolutely correct! Amazing how many folks don't realize that this is incredibly important for proper stocking.

You are correct! I've seen stores post lost sales for all sorts of reasons beyond the only true reason "if I had it, I could've sold it, they didn't order one from me, so I've lost the sale". And the only exception to this rule is to record a lost sale on your OE number when you could've sold it but had to purchase a non-OE down the road from a parts store.
