Reynolds ERA GM people... step inside please

I have some questions about procedure, end of month, and so on.

Long story short. I am now the parts manager at the dealership I have been working at. There were some questions about how the previous manager was performing his duties here, and I think that is ultimately led to his departure here. I have been running the department since the middle of May, and am slowly getting things sorted out. I was officially made the parts manager effective June 1st. Comments have been made of appreciation on my part as to how much smoother things are running between the parts and service departments.

I'm told by the office manager that our inventory was off by $8,000 last year. The previous manager was adamant that the problem was with the books in the office, and not with his inventory.

Here's my question. Would you be willing to walk me through a day in your department where you are performing your end of month procedures? What screens you use, jobs you do, etc. I'm just trying to make sure I am doing things properly.

Which leads me to my next problem. We didn't hit PASE for April, so we weren't able to do a RIM return in June. I'm trying to do my July monthly RIM return in 2082. The part numbers on the returns that are coming up do not match any of the part numbers on my monthly return paperwork. I called Reynolds, and had them email me some papers on how to do the return. The paperwork that Reynolds emailed me states that RIM returns stack up in 2082. So what I am doing is clearing those returns out of the system one at a time and printing them off as i go. According to Reynolds, there is no way to search for returns by application number or PO number.

I've never seen any of the return screens used before by the previous manager, so how was he doing the return and transmitting it to GM? I'm STILL finding stuff that we show in stock, but it isn't really there.

I've got myself quite the mess here.

Go to myreyreydotcom and search for anything you need to know. I can tell you what I do but the thing is different stores do different things for eom.

That's actually what I'm looking for, is how other managers do their eom procedures.

I realize that there are different ways to do it. :D

After you run your monthly update 2161 you get two reports. Superseded parts and Appreciation. If you get a price increase from your update you need to take that to accounting a tell them to debit your 242 the increase amount and credit your 688 as well. Were you long or short the $8000.

I don't know if it were long or short. I'll have to inquire with the office to find out for sure. I do turn in the Appreciation report to the office manager, so I trust that she is doing that part of things properly.

I know that 242 = parts. 244 = oil. 246 = sublet. 680 = cost difference. 61d = service. 687 = discount.

What other accounts should I be aware of? What is 688?

I run 2252 2182 2213 2161 2163 2245 3613 and I go into 0504 and print my 242 242a 243 and 244 act #s. I turn in an inv sheet to the office after I inv the tires and oil.
As I said though I may be more through than some and not as some others are. I then have enough info to do an inventory reconciliation almost like an inventory. I just try and see if there are any #'s way off. You would need to check credits due etc to get close.

What is account 243? How about 242a?

Should I have access into 0504 and 3613?

243 is your tire account and 242a is your core account.
