Parts quotes

How do you guys write up your parts quotes the techs bring you to give to Service? I am asking because I normally don't have a problem hand writing a quote right on the RO, especially if it's non GM because it's just easier and faster to write it down than enter parts and prices into the catalog and wait for my slow printer, not to mention the paper you save the company over the year. I will make a quote from the catalog or on a separate sheet of paper if it's a big one with multiple items. This was never a problem before because my service manager and writer knew the system and could read mine and the techs handwriting. Well, long story short but we lost someone in service and the person filling in quoted, and I am not kidding... $80 on a compressor, accumulator, and orfice tube. I wrote down $780... She claimed my 7 looked like a less then symbol and she quoted $80 plus labor to the customer! Well seems like per the owner, the customer was explained the situation and given a almost $400 discount, guess whos account that comes out of? I couldn't argue with the owner but IMO service should have enough sense to know a compressor, accumulator, and orfice tube is not $80! From now on I am going to take the extra time and print out a quote sheet. Even if it's for the lube tech that quotes air and cabin filters. Service can wait until I print a proper sheet. How can you not know $80 in parts isn't enough to replace your full AC system?

As much as it pains me to waste the paper, I use my inhouse system to print quotes (ADP) it also makes it easier to bill if the customer goes for it as I just bill from the quote and there is no question about price etc. If there is I have a copy of the quote and can point out what was asked for and what was quoted. I do this with all prices, I got burnt years ago because a writer thought my 5 looked like a $ and quoted a customer a price that was off the wall like what happened in the above instance..

We use a mixture as well. Luck for me the owner would have looked the service advisor and question if they were a dumbass on that example you gave. I am pretty confident that he would not been real happy with the service advisor. Service would have to eat it, because they were the ones that hired the idiot. This person had to have no experience to be that stupid. I also, will not print out a quote for 3 parts. That is just waste. I

We use xtime and it works pretty good.

Apparently, when you're a dumb-ass.
When you are learning you wouldn't know how much. I know it's a honest mistake on her part but I shouldn't lose a dime in parts.

We write down a parts list, or create one from the catalog. The technician takes it to the Service Advisor; they create a quote in their ProDemand from Mitchell/Snap-On. The labor can be added and it works well with other makes since that is where they look up labor for those vehicle types. That is then printed: a copy each for the customer and our records.

we use multipoint ( autopoint ) and put every ounce of information in the shop notes of the repair order. everything is time stamped so if there is questions you can go back and see everything.

We use a multi-point inspection system that allows pictures, notes, parts lists, etc that is sent to the writer, and then presented to the customer. When doing a quick quote, we set up our CDK printer to print at both the parts terminal and also at the writer's area, so the tech gets a printout, the writer gets a printout, and parts has the quote on the screen; it helps to keep everyone at least on the same page and it's also nice to have multiple eyes looking at the same thing at once in case there's an error.

I use the shopping list function built into the EPC catalog, you can set what prices to show and print the list and or create a quote
