Reynolds & Reynolds Special Orders

Hi folks! I'm new to being a parts manager but not new to automotive parts.

I recently took a job at a place that does not flip their SP orders to S after handing them out. The logic is; if it goes negative when ordered and gets posted in correctly (which pwashes the negative) then it does not effect count. Imo, it makes nothing clear about what is existing, still needed, and what isn't. On a high moving part it creates a shit storm, especially with backorders and restrictions in place.

Outside of not really communicating if something is handed out, and people ordering something again that is actually available because they think it is not, can anyone give me more valid reasons to help sell why this is critical and needs to change?

Are you stating that billing the part on a repair order or invoice does not relieve inventory properly? From what you described, it is functioning properly. You would know what is being ordered by entering the part number in the query screen and the ordered quantities show below the number, next to the order number. I show zero on hand, 6 on order.

you should always clear to s fine example maybe it was sb and your people assume it was sp's they hand out part ro is closed customer leaves and you have not collected the money for said part.
it will also show as a special order if you don't clear it, but to answer your question if you dont clear an sp it does relieve your inventory.

Yes, it does relieve inventory but does not delete the special order if you leave it as an SP. So the issue I see is if two came in and one was on stock order and one with a speed to a ticket and handed out someone who sees the One S might think it is reserved for another customer and then order yet another one. That is my problem. I have not been there very long and I have already seen them pick up another part from another dealer that we actually had on the Shelf.

That is one area where I think the DMS fall short. There should be a HOLD type option, where maybe a stock part has been sold to a repair order then released as they are handed out. Or a SPH (SP still on shelf) that can function the same way. I save suggestion emails to Reynolds with great options for parts and resend them periodically. Maybe someone here could make a Reynolds Suggestion post that can be keep at the top of forum. Parts is always last to get any worth wild updates.
