GM: Handling of LPO's

Hey Everyone
How do you handle your LPO's?
Do you charge the parts to a work order to show history of install?
How do you keep track of the LPO's that come in?
Currently I created a Google Spreadsheet that I input the VIN's and Part numbers that are associated with the stock number and gave access to the Internal advisor so they can PDI the vehicles knowing that parts are all here.
Are your departments being compensated for the extra work you have to do getting the parts, storing them, organizing and bringing them out?
I am looking at ways to improve the flow and process of the LPO headache.

We in parts have the privilege of checking them in, storing them, and handing them out to service when they need them and get nothing for it.
After we check them in we give the invoice to the office and they check to see if the vehicle is actually here; if it is they give it to service and they write the RO and get them installed.
If the vehicle is not here; they put it in a folder until the vehicle arrives at the dealership to get installed.

Same, When they come in from ADI we write the last 8 of the vin, and quantity of boxes on those sticky address sheets, so we can at least quick check if theyre here or not.

Because LPOs have absolutely nothing to do with the parts dept we have our service dept handle them.
They prep the vehicles and LPOs are part of the prep process.

Like many others we store them, we have a clip board that we put the invoice's on when the tech preps them we pull the invoice and hand out the parts, we here in parts are paid off of service labor also so it takes a little of the sting out

When the accessories arrive, we check the VIN# to see if it has been issued a stock#. If it hasn't, we check daily to see when it does. Once the VIN# does have a stock number, we use the orange labels that are provided, write the stock# on them, stick them to the part, and wait until a technician comes asking for them. The delivery receipt then goes to the office for filing. So we are responsible for stocking, warehousing, and issuing these things. We make $0.00 off of all this. We have one technician who also every once in a while loses a piece or component during install

. Then we even get the pleasure of getting a replacement. Service then gets billed for the replacement accessory or finds a way to make warranty pay for it. Gotta love that great GM feeling!

We don't touch them. I have all LPO's dropped at our recon center and its service's responsibility to organize, store, and distribute them. Service takes any handling fees due. lets be honest, we work for a single business but are responsible for our particular department. Why would I go through the trouble and expense of dealing with these things if there is no gross available to offset the labor and storage cost?

Our parts department checks in the LPOs and stores them. Our service department adds a line on the PDI ro for LPOs if it has them. The tech comes to parts to get the LPO......BUT we add a part to the ro as LPOHF. It is an LPO handling fee. I have cleared this with our general manager and it goes to the cost of the vehicle. We make from $25 - $200 added gross per vehicle on this and it makes handling the LPOs a very profitable service!!!!!!

Our Parts Dept. checks them in, stores them and brings them to the tech. We're a small dealer so we don't have to store massive piles at once. When they arrive, we make two copies of the delivery receipt: one for the Sales Dept. person who (mostly) checks the vehicles in and one for Service so they have a heads-up. The guys are usually pretty good at making sure they get done and will sometimes even help each other out such as putting in floor mats and security shades in Sales; as long as no major tools are required. Parts people are not compensated for their involvement.

We make a copy of the ADI invoice, attach one copy to the LPO parts and provide one to the new car check-in personnel.
When the vehicle arrives and is sent to service for inspection, the copy is with the RO so the tech knows to install parts. The copy attached to the parts is filed with the install date written on invoice. This helps avoid any accusations that the parts weren’t installed in the vehicles.
