my dealer principal has asked for a parts level of service percentage for his twenty group meeting. I understand that this is really the off the shelf fill rate of the parts department but i do not know where to find the numbers needed to calculate. There is a level of service percentage under the heading of business ratios on the monthly analysis summary (job 2213 on reynolds & reynolds)but this number seems high. Is this the right number?

Yep! That's the one....

The "level of service", as measured by Reynolds and Reynolds and ADP, is nothing more than your fill ratio on based on the way you purchase and receipt parts. IT IS NOT an Off-The-Shelf percentage.

ADMI has developed new reports for Ford dealerships to measure off-the-shelf ratio for the new IMA program that is much closer to reality. And, I believe ADP has a OTS custom report you can now purchase separately. But, for what everyone else will probably bring to the twenty-group meeting is the number you have now.

I believe that the R&R Era 2219 Fill Rate Report On Repair Orders report will have the data that you need. This report does report on Off The Shelf and Same Day Fill rates.

If you don't have access to the report, ask your system administrator to give you access.

KEEP IN MIND THAT R&R REPORT 2219 ONLY WORKS
IF YOU USE THE SPECIAL ORDER SOFTWARE AND CREATE SP. ORDERS IN THE RO,FOR EVERY PART THAT YOU ORDER, GO AFTERMARKET, OR PICK UP.
ALSO, YOU MUST USE 2062/2063 TO RECEIPT ORDERS(AND PICKED UP,OR AFTERMARKET PARTS) ON THE ACTUAL DATE RECEIVED, NOT THE DATE YOU "CODE" YOUR INVOICES.

You can continue to use the IO transaction code-- those parts will be reported under the Same Day Fill column rather than the Off The Shelf column.

Additionally, it does not matter when or where you receipt the parts-- the report is looking only at the invoicing activity, not receipt activity.

Also keep in mind that true off the shelf availabilty reports in ADP, even OTS will only report properly if lost sales are being posted correctly. If your counter people are not posting lost sales efficiently your availability will show 100%. Subaru is now suggesting (requiring) that a log sheet be filled out at the tech counter for tech fill rate auditing. That may be a prefered method.
