I'm interested to see how many parts departments handle repair exchange radios and clusters for the dealership. We do between 3 and 8 r/e units per day. We've tried everything form Microsoft Excel spreadsheets to a bulletin board to attempt to track whats ordered in stock or enroute, and still have not come up with a good way to handle them. We use Reynolds and Reynolds but to my knowledge they have nothing in place to handle this.
Any suggestions would be greatly appreciated.

we have found a great way to handle this. as soon as a parts request is submitted we make a po (for tracking purposes). go to the ro and use the po # as a part# and add it to the system, order it "sb"; roll order in 2052. order unit from provider. when it arrives rec it. the service advisor is required to contact customer. we can monitor it in 2028 and return to vendor if customer never returns. when the item is replaced return unit and subtract qty.

use "radio or cluster" for part# only, and its tied the cust until it is installed or returned. this is a little more work but it keeps everything under control, also monitor sops every day and return if over 30 days.

also charge restocking charges to the service dept. remember the parts depts are there to provide a service, the customer belongs to the service dept. this works great for conversion parts if you have them.
