What is is reason for doing inventory so often?

Make the GM aware of the extra expense in your department's manpower, which may increase depending on the going rate (which may/should be determined through estimates from outside inventory firms) and be certain of where this expense will be billed! Of course there is aways the choice to farm this out, on occasion, so having those prices handy may not be a bad idea anyhow.

Your GM is an idiot. You don't need to do a physical inventory every 4 months. I would rather be kicked in the groin repeatedly than deal with a physical inventory every 4 months. That is just about the stupidest thing I've ever heard.

If a Parts Manager is doing his job, physical inventory day is one of the most boring days of the year requiring minimal preparation. You should always be ready for one!

I believe your general manager is making an interpretation of the industry guidelines. Parts inventory recommendation is 3 to 5 times per year plus an independent audit. The 3 to 5 times are part of the normal perpetual inventory process done daily by parts employees. They should be done as blind counts, adjustments audited by management and corrected. All documents should be held for observation/interpretation by upper management, Comptroller, Gen. manager, and ownership.

Perhaps a discussion with the General Manager to understand what is the goal would be helpful. If afterword he still insists on a complete physical inventory count down at $265,000 worth of inventory it won't take long at all; it's probably five hours max.

When I was in management I had my shipping cleark and and my advisors do a perpetual inventory on 3-4 bins at least once a week. or on the on the top 50-75 selling parts, that way when we did our yearly it was quick and incredibly simple. Got some grumbling at first but when they saw the benefits (computer shows on hand and its there everytime) they saw the benefit. I would write up a process to do this and present it to the GM as an alternative to a complete every four months.

We are on ignite and I do my physical on the blue screen side. Seems a lot less confusing and faster. I share your pain.
