We are new with ADP. Can anybody help us on how to keep our stocks of oil(lube) on Service Inventory and the proper way of charging to the Repair Order that will also relieve our service inventory. As of now Parts Department is Keeping inventory of the Oil(Lube) but they have problem with their inventory it is always off since the drums of oil is in the shop.

First things first....keep in mind the age old dynamic that Parts inventory is a tangible item and Service sells an intangible called time and materials. Think about it loosely like building a house. The contractor has a loose version of materials that they can lump into terms like roofing materials but the Home Depot bill (like a parts dept) gives you an itemized invoice. So the question is are you truely responsible for oil from a dollar and cents standpoint and if you are it should be "relieved" through the means you can use on the service side. Since you can't attach it as a part you must apply it some other way. An MSL (misc, sublet or lube) charge against the correct "service inventory" accounts would be logical. My guess would be a lube charge hitting the GOG accounts. First find out who's inventory it belongs to and then work out a method of application.

Welcome Manny

I can't if tell your problem is looking for a way to have service control the oil or if you're having an inventory control problem. What do you mean by 'service inventory'? Would that be the GOG inventory account?

How did you do it before ADP? Did it work?

Please don't multi-post the same issue. I assure you that those that read these threads always hit dealer, parts, and service sections.

Chrysler has now put GOG back onto the parts department side of the house. I don't even know yet what the capacities are in the tanks I was supposed to measure the last day of the Feb. It will be easier to find the volume of the tanks than it will be to control the levels and identify shrink, I think. Oh yeah, the service dept. never really measured the tanks anyway, according to the acccountant.

4 ways to post oil in the service dept.
However, I need to ask this first.
How does the filter get sold? Why is it so difficult to bill them simutaneously?

1. Use the ASL (Add sublet/lube) command while posting tech time in PFC (Post final charges)

2. SPS (Service Pricing System) is an add-on product that pre-bills all labor, parts, shop-charges. Simple acceptance in parts will sell parts and oil.

3. Quick RO (Quick RO) is an add-on that high volume quick lubes use to write, sell, and close all RO details on a single screen.

4. Create a labor type in service that points to the oil sale account. For example, Labor-type COIL and op-code OIL for tech 999 and it flat sells the cost and sale amount on the RO. The only possible downside to this, it that reports will view it as labor and the final RO will add it to the labor sub-total line on the RO.
