Combining c/p and warranty on the same repair order

We just got a new vice-president in charge of service(I think)...and he came up with the bright idea of mixing c/p and warranty on the same ro....I see a lot of headaches if we do this...I'm a warranty admin, been doing this for 9 1/2 years now...and I'm used to my way of separate ro's for c/p and warr, and then closing them myself...by the way, we are on ADP...any thoughts?

MOst dealerships combine the lines on a single R.O. -- where I see problems and why shops decide to separate them is because of a lag between the cashier, WA, and getting the bill to the customer. With separating the lines you make sure that the cash part doesn't get hung up with warranty issues, (ie. it is waiting for approval, etc.). What are some of the conflicts you've seen or foresee with combining them?

we're on r+r and we have always mixed them on the same ro.

i would think it would be double work for service to write two repair orders and what do you do when you discover something should be cp on a warranty ro?

We mix customer, warranty, and internal on the same RO all the time. No biggie. Been that way for years with R&R. I guess I kinda assumed that was the norm for all stores.

Customer pay gets closed first....due to the money handling aspect, of course.

The warranty and internal can be closed later...next day or whatever.

You'll get used to it in no time.

We close all the lines on a repair order at the same time. But, most systems will allow the cashier to close customer pay lines and internal lines without closing warranty lines. The warranty administrator gets a shot at each repair order before it the warranty lines are closed and the cashier gets to balance out the cash drawer each morning/night.

I'm at a Chrysler/Jeep?Dodge dealership using ADP...I just forsee an accounting nightmare, with parts not billed out right, incorrect markups, stuff closed without timestamps, ect....need to look over stuff before you close it, in my opinion(well, at least warranty).

It's not a problem.

Customer walks in, pays his bill. The money is accounted for and the *customer pay* portion of the ticket is closed into accounting. The *warranty* portion remains open.

The RO is then put in a basket marked "warranty". The warranty admin picks up his warranty tickets several times a day and does whatever he needs to do just as he normally does.... check parts prices, assigns labor ops, makes sure stories are in order, and so forth. He then closes the *warranty* portion to accounting and submits the claim.

Piece of cake.
