I am a service manager from a rural Ford dealer. It appears, after investigation, that we have a Parts Manager that has been less than experienced in managing his affairs. He has bastarized our ADP system into a post and sell data entry system. No stock ordering set up, no sop set up,no posting of lost sales,ect. ect...

I will cut to the quick of things. After the dealer meets with the parts manager and explains his dept loss of 800.00 for each of the last 2 months and more than likely he will be terminated or quit. I have been selected to fix this mess.

I know how to reimplement our SOP system. I can get the stock order functions back to norm. What set up would you recommend for auto stock order stocking levels in the begining. There current sales are about 50k per month. most of which is to my service dept. Current messed up inventory is at 80k with dead(no movement over 12 mths.) of about 30k. Should i set up with some type of straightline set up for now. Any suggestions would be greatly appreciated.

Randy,

You have three things working against you.

1) Your a small rural dealer.
2) Your a Ford franchise.
3) You have a 40% obsolescence problem.

The best ally you can have is Mike Nicholes. You should have him come in and work with you.

Whatever you do, make sure to isolate your Ford OE parts from your Motorcraft parts. In stores of your size, we see that Motorcraft parts tend to be about 10% of the inventory generating 90% of the CP sales and all the obsolescence is Ford OE parts from special orders that go unfulfilled. Thus, buying from your Motorcraft distributor does nothing for earning PIPP. This is why I would highly recommend that you implement a SOR process that reviews special order parts daily and return any OE parts via the 30 day return program that you have not fulfilled by the 25th day. This keeps you from accumulating OE parts in your inventory that you will have no hope of returning with PIPP.
