Dealertrack Physical Inventory

Getting ready to do my first physical inventory in Dealertrack and they tell me that the count sheets only print out 15 parts per page........???? :o So this leaves about 1/3 of the page blank for yellow pad/write in's. Is anyone else familiar with this? Is this S.O.P.? Is there any way to change this?

I have almost 700K in inventory and will have about 1900 pages for count sheets where I use to have less than 600 pages with CDK. What can I do fix this if anything? Dealer "CRACK" is no help.

It is what it is... I have not found a way to change the count sheet format.

I would suggest keeping the handwrites on separate sheets.

One more thing... you can decrease the count sheets by using the page break option.

For example, my bins are numbered with four digits, plus a shelf letter, or a drawer letter and number. (IE> bin 3215 has 3215A to 3215J, and two rows of drawers 3215E1 to 3215F6). I do page breaks by selecting these positions in the option screen, 3,4,5,6. This puts all the shelves of 3215 into one series of count sheets, maybe 2 or 3 pages, instead of a page for each shelf. And then all the drawers into one series of count sheets, also about 2 or 3 pages per bin, instead of six.

you can play with the positions and view the report in QPRINT so you don't waste a bunch of paper.

does any of this make sense ??

Reply with your typical bin numbering system, and I can point you in the right direction for page breaks, but it is very much trial and error.

I found that using position 3 and left justify pretty good so far, have not tried using/adding 4, 5, 6, or 7 yet I will try that and see if that helps. My bins are numbered as follows: bin 123 and shelf 010 so looks like: 123010. If it happens to have a small parts drawer in it would be bin 123 shelf 050 drawer 4 and would look like: 123054. My bins start with 100's and end in the 800's. I did not set dealertrack up to use the shelf/bin the entire bin location is in the shelf position and the bin is empty.

Also you suggested to post the write ins on separate sheets why is that? I am use to writing them on the count sheets. Are the write ins input at a separate from the count sheets?

from what you describe, I think the 3 selection is correct, but you can try adding one new digit at a time and see what you get.

I think that keeping all handwrites to a bare minimum will reduce human error, which is the whole point in an inventory audit. I think a separate pre-printed sheet works best. Hopefully you only have a small handful of hand-writes.

Never mattered much to me but every inventory company I dealt with always wanted handwrites on the same count sheet they were found on.

I think it just makes it easier to give it the correct location during data entry and to know where it is for any variances that need to be addressed
