Daily Routine

As a newer PM (within the last year), I'm just curious as to what everyone's daily routine is. What to check, things to do on a daily basis, etc. Just want to make sure there isn't anything I'm missing or overlooking.

Welcome, I am just a little bit ahead of you. I was a tech and our Parts Manager retired when our dealer changed to Automate from RR. He showed me in one week what he had 38 years of doing.

For myself I check the daily invoices and make sure I received everything I was billed for. If I find any discrepancies I try to resolve those right away. We have a guy that checks in the order and puts the parts into stock or SOP bins. Our bodyshop usually hammers me early in the morning as I do all the ordering for them. So I end up calling and checking and tagging those parts. I do have to inspect and return any incorrect and unused parts. I also sign for Fed Ex and UPS as well as our WD's. There are usually some fires to put out since there is almost never a Bodyshop order that is complete the first time. I also keep all the LPO's and tag them and hold them until the vehicle arrives. I usually go thru those vin numbers once a week to try and keep them tidy. Since parts has no money invested in them they usually come last. I also write up the returns going back to the WD's that were not installed during the week. I log onto Global Connect and check messages if there is anything that stands out. I do not usually answer the phone as that's what my countermen are for. There are two of them here. One with 30 years experience and one with 28 years. (our dealer Principal requested that I be the manager over them..) They know what their jobs are and work without being prompted and told what to do. I am responsible for core returns and tracking the credit. I also order the oil and ATF and keep a eye on those levels. Any sales calls that come in I asked the guys to put them on extended hold. Been getting less and less for some reason. I also order the battery's from the WD and track their cores. Occasionally I have to go out to the shop and rescue the lost cores as my front counterman can have issues with the techs when they don't bring them back. (they call me the core whore) Its ok because they know its not their money. When they have sold stuff to the scrap man I asked them to give the money to our DP. ( I guess that's how I earned the name) I also go into the bodyshop and physically see what brace bracket mount socket nut bolt pigtail the body techs need. I also have to chase our DP when someone calls asking for a check on a overdue account payable. We don't have much wholesale and there is not much to do on that end. Randomly during the day I will check my emails. As for the warranty scrap the old service manager used to handle that, but since he left he has shown me how to get the transaction journal and see whats been paid and what is pending/rejected. When I go onto Global Connect I also check the WPC part requests and have to retrieve prepare all the paperwork and box and ship them out. Before I got here they would never ever ship out any SPAC cases. I have the guys field those phone calls and get the part. We work together to box and ship them out. Our dealership has not done a inventory that either guy can ever remember. I did start us on RIM (REEM) and it has actually helped to make sure we are stocking what our service department needs. Our service department said they can finish the jobs quicker more often than they used to. I am poor at doing the returns though and our creaping up inventory shows. I end up doing a REEM return once every few months. (oh well my bad) I begged to have a inventory done but I guess they don't want to know the ugly truth of what is missing. With that I accept no account ability to anything missing before I started. Now as I re-read this I feel greatly underpaid. I do get other compensation though. I have two cars for demo's (one demo and one instead of commission) I end up working about 50 hours a week. Hours open 7-5 m-f sat 8-4. I work almost every Saturday but take Mondays off.

I'm sure there is stuff I missed but hey you know how it is.

I did one thing that my gals and guys hated. I wanted to be sure the receiving people were actually checking quantities on incoming shipments. So periodically, when no one was looking, I would "steal" something from a not checked in yet stock order. Woe betide the receiving clerk did not submit a packing list showing only 4 pad sets received out of the 5 that were supposed to have been shipped.

I do have a routine and it will be in my Parts Management Book after I write it and hopefully get it published in the next 2 or 3 years...
