HOLDING PARTS FOR CUSTOMERS WITH REYNOLDS

After leaving a dealer with ADP and coming over to a dealer with R&R I am a little confused on how to hold a part on an RO or Invoice without relieving the inventory on both quantity on hand and quantity available. With ADP we created an SOR and used ISI (in stock item) as our indicator, this would flag the part as held for a customer but it did not change the on hand quantity which in turn did not prompt GM to replenish our stock of that item until it actually went across the counter. The only thing similar I have found on R&R is by using the "AP" (appointment) which works great for appointments on the service side but what about RO's that are left open and parts not yet given out or CP invoices? Any help would be greatly appreciated :)

Is there a way to use "SB" to hold a part but not prompt it to be ordered? When we try it here, no matter what code we use "ISI" "DNO" etc. It is still prompted to be ordered and has to be manually deleted. Any thoughts?

I don't think you can do what you're wanting to do with Reynolds.

There is a switch somewhere in Reynolds that won't reorder stock parts until the invoice is actually printed, but that was for invoices only, not ROs as far as I remember, but I had them turn it off as I always wanted my parts reordered. The reason behind the issue when I brought it up was when I had 2 parts already in stock and had to order the 3rd. I didn't want to have to wait until I actually printed the invoice for my stock parts to be reordered. Hated to be out of something while waiting for a customer from a week ago show up. And you know as soon as you "borrowed" his for someone else, he'd show right up.

You can give Reynolds a call and ask them though

Go to myDOTreyreyDOTcom...create a login and use their online support tab. Go to ERA screens list- parts-numeric listing. Takes a while to learn to navigate, but once you get that down you can find anything you need to know.

Unless something has changed in the past 7 years since I left Reynolds, there is no real way to reserve an instock part and tie it to a customer.

You could start an invoice for the customer, add the part and save it which would relieve the QAVL but not QOH. Thats a bit cumbersome, though. Then, when the customer returns, you'd have to remember the invoice and void it when billing the part to the RO.

I am on Reynolds at our store, and a lot of times I will use the price quote to create a list of parts for a job, then when an ro is made I can roll those parts into the ro from the quote. Not sure if that will be what you want, but it helps me.

IF the service dept sets an appointment, you can tie parts to that appointment for that customer. in the 2525 screen put AP for invoice number and input the customer number. If there is an appointment set it will show an appointment screen. Charge out or order parts as necessary just like a regular RO.

For OTC parts we just create an invoice.

This is an older topic but I'm a new PM at a store that's on R&R. The stores current process to hold parts for customers had been to bill them on an RO. However that has left the store with tons of open RO's, doesn't give me an accurate inventory count and creates all sorts of problems. I'm looking at a way to tag a part for a customer that would not relieve the part from inventory but would show when the parts counter guys look up the part number. I have looked at the appointment system and trying to bill parts to a Service appointment however that doesn't show anything different in the quantity AVAIL spot. So another counter person could look up the number and not see that anything is held and sell the stock. Anyone trying something that's worked well for you?
