Key Code Audit

Key Code Audit

Postby Whiner » Mon Jul 10, 2017 12:17 am

I have known for years that key codes could be audited by GM. We keep incredible detail files on key codes. I am certain we would not have a problem.

That said, we recently got an email from our District Manager stating all dealer audits (warranty, sales, etc) will now include a key code audit. What penalty could they impose for key codes? Take them away? How would we perform recalls requiring key codes. I would - almost - welcome the loss of key code access. They are pain and rarely is a customer grateful.

Do you know anyone who has had a key code audit?

Our DM also informed us that more than 50% of his dealerships are currently under some sort of audit. We are not one - YET.

I went through two Key Code audits at my previous dealer. The first one was premised by a mystery shopper with a peculiar situation to obtain a key code. Just make certain all the rules are followed and you will be fine. It is similar to any other audit. Proper documentation is required for each VIN they ask you about. COPY EVERYTHING A CUSTOMER GIVES YOU FOR PROOF!

The only thing I got dinged on was the repos, in that I had repossession orders, but the auditor said we needed COURT orders as well. Needless to say, all my banker friends were pissed and my repo companies never called again.

We cut keys for 2 vehicles that ended up being stolen. so yes we were audited. There was a tri-state ring of theft in the Michigan area FBI and GM were working together a few years ago. I believe they ended up catching some of them. I don't mind cutting them for most people but there are the attitudes towards us sometimes. If they did cut you off from codes and helping your customers where would they go to get a key made? I too would almost welcome not having access to key codes.

We have been thru 2 key code audits in 5 years here in Indy area. We were part of the tri-state Fed investigation rover spoke of. We keep key code records in a locked cabinet for two years. When accessing keys codes we put in as much info as possible as it pertains in each situation. If for repos you need to get all info and then some. Hat size. Shoes size. Court order. Everything. We have told used car lots if you are doing buy here pay here deals you need to get a second key made for you to retain before you deliver the car. Do not come to us afterwards. Our rule is simply do not put yourself in a position where you will have to answer to a judge in a count of law. When in doubt! Don't do it. Heard rumors that South Carolina has already passed a deal where people have to go to the BMV to get key codes then come to dealership. We would very much welcome that.

I got audited several years ago and My Rep was the one that did the audit. He jumped on me about "repos" as well. I asked him one simple question; Who is the "legal" owner of the vehicle, IE: who holds the pink slip? The bank, am I correct? Alright, I have a written request from the bank, the owner of the vehicle, a "repo" notice" requesting a key code. Tell me the difference between that owner and one that "may" be in the shop or elsewhere. No difference, right? Had no issues after that.
Sounds like you auditor should take a hike Dennis!!

About two years ago we had a cursory audit where the DMA looked at our storage of old codes and took a peek at a random selection of paperwork. We reviewed Global Connect access. He liked our system and that was it. I wouldn't call it an audit per se, more of an inspection ??

cutting keys is the worst part of my job...

By way. Go to Global Connect and click on the Business Office tab. If you do not have access to the Key Code Review tab ask your dealer admin to add you. Show after hours key code accessed.

This brings up a question for you all. Wife brings in title and ID. Both her name and husbands name are on title. You cut a key for her, only to find out the next day they are in a bitter divorce and she took the car from his house. In my mind you did nothing wrong but his lawyer say you are liable.
Yes I had this happen 10 years ago when I was with Chrysler. Nothing became of it because he screwed himself by assaulting her. What would be the ramafications on this.

This is one of the reasons they ask for the documentation. We tell every customer that needs a key code the person(s) listed on the title, reg, etc. have to be present to get the key code and need proof of ID.
If that happened to us I would have refused to get the key code until both parties were present.
