I always had the service department open a repair order for parts only.

Need the VIN, mileage, cust info, etc... and a copy of his invoice to staple to the RO they create

I created a parts warranty worksheet that contains everything a service writer needs to do a warranty repair order. It looks official on letterhead and requires customer to fill out a required fields before warranty can be processed. I will find a copy and post.

FOLLOW UP: no way to upload an excel document.

Warranty Admin at my last dealer would do them using the customer's original invoice and our replacement invoice, without Service making a R.O.. She was the only one who ever did them that way, every other one has done them through initializing a R.O. in Service for us to bill the part on.

We do a parts slip here. Include all pertinent information on it and we provide a copy of the original receipt. Warranty clerk makes the claim, we have not had any issues doing it that way. At least that I am aware of anyway.

We have the service dept write up a RO containing the information the warranty clerk will need to submit the claim. Customer name, vin #, mileage and then we bill the part # out
on the RO and also give the warranty clerk the original parts counter invoice so they have the reference information when the original part was originally old. That should be all they
need to submit the claim.
