special order parts

We are a small GM dealer and I have a question. How do you stock special order parts? I know there are several schools of thought for this. Currently we have
3 dedicated bins, filed by first letter of last name. I have seen where parts are stocked in regular bin location but have not tried that. I am looking for a
solution that will be effective and easier come inventory time. We are on Dealertrack, any suggestions?

HAVE A SEPARATE SPECIAL ORDER BIN AND CALL IT "SPORD". BECAUSE IF YOU FIND AN EXTRA ONE IN YOUR NORMAL BIN PEOPLE TEND TO FORGET TO LOOK AT THE SYSTEM TO SEE IF ANY OF THOSE ARE HELD FOR SOMEONE. I KEEP MY SPECIAL ORDERS FROM 60-90 DAYS DEPENDING ON ROOM AND MY ATTITUDE. I MAY HAVE 30- 40 PARTS AT A AVERAGE LOW IS A DOZEN HIGH IS AROUND 50

Pretty much same as you. I have 3 open style bins in the back all label with first letters of the customers last name.

We put them in our DMS bin location as "SP-(first letter of last name").

Only issue come inventory time is if you have any parts that are in a normal stocking bin location in special order you will have to move those parts into the appropriate normal stocking bin location before they are counted.

Same as the guys above me, we have A-Z bins, SOP goes to the letter bin of the last name,

I usually keep for 30-60 days depending on my mood, or if another local dealership needs it.

Sometimes it goes to stock for the common ones, sometimes they just sit and die.

FOR INVENTORY PUPOSES. WHEN THEY COUNT THE SPECIAL ORDER EITHER THEY ALREADY HAVE MUTLIPLE BIN SHEETS OT THEY JUST WRITE IT IN AND ADD LATER. NO PROBLEM. THE ONLY THING THAT MIGHT HICCUP DURING INVENTORY IS WHEN YOU HAVE CDK AND YOU DONT REGULARLY FILL THE SOR

Each counter man has their own bin with their name for special orders. So when a SP-ORD part comes in, they'll change the bin location to their name and stick it in that bin. We keep the parts in special order bin for 45 days, if customer no shows, we'll then setup the special order part in stock and give it a chance to sell to someone else. If it doesn't, we'll return before the twelve month mark and charge restock to service.

When i do an inventory, ahead of time i will change all the bins on the in-stock special order parts to the shelf they are on. SPORDA, SPORDB, etc.. Easy to find during an inventory. At the end of the inventory i just leave the bins as is, and change them as i sell them.

We're a small dealer as well. We have three parts people who are pretty tuned in to our inventory everywhere. If they're counting, they have a sheet with what we show in stock and a space to write a discrepancy. Whomever counts the SOR bin can spot the pieces we normally stock, looks for the count sheet that goes to the stocking bin and notes it on there instead of the SOR count sheet.
