Another Dealertrack issue

Another Dealertrack issue

Postby AlanHomes » Wed Nov 24, 2021 6:35 pm

Dealertrack has a feature that only works with charge customers, the ability to add "remarks" that will populate a screen message, ie: "Do not let Joe charge to this account, Use account number 1234" etc.
Has anyone ever figured out how to add remarks to cash wholesale customers, ie: Use credit card on file, will pay by check, deliver to 12345 Main Street. We have a lot of wholesale customers that will not/do not have a charge account and it's almost impossible to remember whom has a card on file. Parts are delivered then it's Oh, I have a card on file. Other than having a sign by the delivery table with a list of customers with billing instructions any ideas. Dealertrack support was useless, I have been asking them to incorporate this feature for several years now, might as well be talking to Buck Fiden.

We have those shops marked as a charge customer but change the payment terms to PAYMENT REQUIRED. We put the cc info in the remark screen that pops up before you get into an invoice.
Unfortunately thats the only way to do so with dealersmack that we've found.

I thought so, accounting would have to make them a charge customer, then mark as "Payment required". Might have to make up a sheet with customers that have credit cards on file and post it. Dealertrack might get the idea one of these days

Forgot, there is a way around this, if you have access to Charge Customers, it can be done in there. Search for your customer, select Payment Required, make sure they are marked as a Trade Customer, check the correct price level and select Remarks and add your remarks.

keeping customers credit cards in your system and even popping up when you open the account sounds like trouble. credit fraud trouble. If anyone can see there credit card who do you blame when someone uses the credit card FRAUDULANTLY? WE KEEP A BOOK OF CARDS LOCKED IN THE CASHIERS TILL THAT ONLY 2 CASHIERS CAN SEE. WHICH MEANS WE KNOW ITS EITHER CASHIER #1 OR CAshier #2 .

This is exactly what we do for our wholesale customers. You can do similar for repeat retail customers. Many like to know that they have an account number, even if it as a retail and cash account.

- gt actually like Arkona, or Dealertrack, or Cox Automotive, or ???

Credit cards are locked in a file, keeps the kids from making 1-900 calls
