Coolant Submitted on Global Warranty Management (GWM) Transactions

Recently there was an uncommunicated change in the calculated reimbursement amount for coolant submitted on transactions, reimbursing a fractional amount based on quart (previously gallon) for each quantity of 1. We apologize for any confusion or inconvenience in transaction submission you have experienced as a result of this change.
We are currently analyzing the most effective method for coolant reimbursement. Effective immediately, we have reverted back coolant reimbursement to gallon quantities while we further review this matter.
The following chart provides Global Warranty Management (GWM) reimbursement amounts per each quantity of 1 entered:
Please follow these general rules for submission of coolant on any GWM transaction:
• Only GM-approved coolant (DEX-COOL®) must be used when performing repairs covered by General Motors.
• Use a 50/50 mixture of clean, drinkable water and DEX-COOL coolant (or 50/50 Prediluted formula) unless otherwise instructed by GM.
• When using DEX-COOL concentrate, submit the quantity of coolant necessary, prior to diluting. For example, if the vehicle capacity is 8 qts (2 gallons), only 1 gallon of concentrate would be needed to fill the vehicle, and only a quantity of 1 should be submitted on the transaction.
• The part number submitted on the transaction must be based on the same part consumed. For example, if the technician uses DEX-COOL Concentrate that was ordered by the dealership in the 55 Gallon bulk packaging, then use GM Part Number 12378512.
• When using only a portion of a gallon, round UP to the nearest whole quantity. For example, if 1.4 gallons of DEX-COOL 50/50 Prediluted coolant (ordered by the dealer in single gallon quantity) is used for a repair, submit part number 12378390 and a quantity of 2.
• Do NOT submit coolant in NET. Coolant must be submitted in the PARTS section of a transaction, using the appropriate GM Part Number.
• Review of transactions shows instances where dealers have submitted excessive amounts of coolant based on the vehicle capacity. Excessive paid amounts are subject to chargeback. Therefore, please carefully document actual amounts of coolant used on the job card and ensure Warranty Administrators understand to enter no more than a quantity of 1 for each gallon of coolant used for the repair.
